How to Remove Members from CPO

Do you have members who have fallen of your radar? If you do, Here is how you handle the situation so you are not forced to pay their International Dues. 

Please contact Gaye if you have any other problems like this one. She is here to assist you in any way. PLEASE share this information with the OFFICER who has the membership list.

  • As for the MIA member, the chapter needs to first find out if she is still in school.
    • If not, they can just circle for left on the membership list and make her an alumna.
    • If she is still in school, they need to get her to sign a resignation form.
  • It is suggested that you send her a form by certified mail with a letter stating that she has X number of days to return the form to the chapter or you will begin the process of terminating her membership.

Collections Information

Gamma Phi Beta has a new licensed vendor that is recommended for collection of past due accounts. As it has been addressed before, the information on the process of collections is outlined in the President's Manual on pages 82 and 83.

The new agency is called Parson-Bishop Services, Inc. If you are having difficulty collecting past due monies from a member, you should contact Parson-Bishop directly by calling 1-800-543-0468 or clientservices@parsonbishop.com. They also have a website that is easy to navigate and contact can be made this way too. www.parsonbishop.com

It is not necessary to call IH before initiating the collection process. This is a process handled by the chapter and the financial specialist first.

Members Studying Abroad

Executive boards should make sure that members let them know as soon as they know they will be gone for a semester. This can affect chapter and HCB budgets, since it will directly affect housing capacity (especially if a sizable number of members will be gone). It is also important to know when the member plans to return so she is assured of a space in the house. The best situation occurs when you can pair up someone who is gone in the fall with someone who will be gone in the spring. The HCB may want to consider charging a fee to hold a person's spot in the house if that spot cannot be filled otherwise.

Page 180 of the President's Manual states:

  • Gamma Phi Beta collegians who spend a term studying abroad are not required to pay the international membership dues for the term they are away from school or off campus. It should be noted on the chapter's computer printout that the member(s) is studying abroad for that term. (In the financial section of the President's Manual it states that members ARE required to pay dues when they study abroad, but the correct information is found on page 180 and the manual is being updated to reflect this.)
  • Collecting local dues during the time the member is abroad is up to the chapter and should be stated in the chapter's by-laws.

The instructions for the fall international dues are attached for reference only. Note that dates will be updated on the spring international dues instructions that you receive with your spring packet CD.
